Describe each machine
Provide the model, function, quantity and manufacturer drawing or specification sheet. Separate the machine from spare parts and accessories on the packing list. State whether the machine is new, used, assembled or dismantled.
Plan lifting and protection
Ask the supplier for packed weight, crate dimensions, lifting points and centre-of-gravity information where available. Identify non-stackable pieces and moisture protection needs. A machine footprint is not a substitute for final crate dimensions.
Agree the site handover
Tell the team about gates, access roads, receiving hours and available forklifts or cranes. Separate unloading, positioning, assembly and commissioning in the requested scope. Share the installation deadline alongside the cargo-ready date so each stage can be assessed.

A machine, tool kit and spare parts may arrive in separate packages. Link them to one reference while keeping each package’s measurements and weight separate. Obtain handling instructions from the responsible specialist; do not infer lifting points from a photo.
- Match the machine model and serial number to the supplier record where available.
- List accessories separately and identify the package containing each one.
- Record final crate dimensions; mark measurements as estimates if packing is unfinished.
