This policy covers the Gulf4WD website and quote inquiries submitted through it. The contact company and channels for questions about this website and your information are listed below. Separate carriers, messaging providers and other external services have their own privacy notices.
Information you provide
The quote form requires your name, email address, shipment origin, destination country and city, service type and cargo description. Phone number, weight and volume are optional. We also keep the inquiry reference, submission time, language, consent timestamp, handling status and any staff follow-up notes. Please provide accurate details and only share another person’s information when you are authorized to do so.
Technical and security information
The inquiry service uses a hashed value derived from your IP address to limit repeated submissions. Its rate-limit record expires one hour after the most recent accepted submission. A request identifier and a content fingerprint help prevent duplicate inquiries. Hosting software may record request times, IP addresses, requested pages and errors in operational logs. The quote-language transfer described in the Cookie Policy uses temporary browser storage.
Purposes and grounds for use
We use inquiry details to assess the shipment, prepare a response, clarify requirements and manage follow-up. Technical records support security and reliable submissions. Your form permission relates to handling your inquiry, not promotional messages. Where applicable law requires a legal basis, processing must rest on the relevant basis, such as your requested pre-contractual steps, consent, a legal obligation or a permitted legitimate interest in securing the service. We do not use this form for advertising profiles or automated decisions about shipment acceptance.
Who may receive information
Submitted inquiries are stored as private records in the website database and available to authorized site staff. Technical service providers may access information when needed to host, maintain or secure the site. If you proceed with a shipment, relevant details may need to be shared with carriers, warehouses, customs agents, delivery partners or competent authorities for that service or a legal requirement. The current form saves an inquiry; it does not automatically send it to carriers or trigger a marketing subscription.
International handling
International freight can involve teams and providers in Hong Kong, mainland China and the destination country, as well as locations used by a provider’s systems. Privacy rules may differ between locations. Any transfer must have an appropriate purpose and meet applicable transfer requirements. Retention and deletion
Inquiry records remain in the database until staff delete them; there is currently no automatic inquiry-deletion schedule. Retention should be limited to the needs of the inquiry, any resulting service, record-keeping duties and legitimate dispute handling. You can request a review or deletion using the contact below. Records required for a legal obligation or active dispute may need to be retained; where this applies, we will explain the reason. Removing browser data does not delete a submitted inquiry or copies in operational backups.
Your requests and choices
Contact us to request access to or correction of your information, ask for deletion, withdraw permission for future consent-based use, or raise a privacy complaint. Additional rights such as restriction, objection or portability depend on the law that applies. Include your inquiry reference and enough detail to identify the request; we may verify your identity proportionately. Withdrawal does not undo prior lawful use and may prevent further handling of your inquiry. We respond within applicable legal time limits and explain any lawful restriction. You may also contact the competent privacy authority, including Hong Kong’s Privacy Commissioner where relevant.
Security and sensitive information
Inquiry records are not published through the site’s public pages. Access restrictions and submission validation reduce risk, but no online system is risk-free. Do not enter passports, identity numbers, payment-card details, passwords or sensitive personal information in the cargo field. If shipment documents are needed later, first confirm the appropriate delivery channel with the team. Report suspected exposure through the contact below.
External services and children
Selecting a WhatsApp link or using an email provider takes your communication to that provider’s service and privacy rules. The website is intended for people arranging logistics services and is not directed at children. A parent or guardian who believes a child supplied personal information can contact us to request review and removal where appropriate.

The date above identifies this version. We will update this notice when relevant site functions or information practices change. A policy update does not itself authorize a new incompatible use of previously collected information.
